Welcome to Irish Fest Camden 2025 Vendor Registration

Vendors & exhibitors reserving space at the 10th Annual Irish Fest Camden shall complete the following contract with Irish Fest Camden, LLC (IFC). All organizations, individuals, civic groups, and vendors are required to complete this document. IFC reserves the right to deny participation to any vendor. If an application is denied, payment will be refunded within thirty (30) days. Carefully read the contract!!

Please Note - The following vendor spaces have been filled and no other vendors of that type can be accepted. If you register under a different type and then arrive at the event and try to sell what you are NOT approved for, you will be removed from the festival and banned from all future events organized by this committee.

Carefully review space sizes — these measurements are for your assigned space, not your tent. Tents are not provided. Your tent, merchandise, tables, and equipment must fit fully within your reserved space and may not extend beyond its boundaries for any reason.

Please use the quantity field to select the number of spaces you need. Minimum: 1 space. Maximum: 3 spaces.

Retail vendors are defined as Direct Sales (products that customers carry home the day of the event), MLM (limited to one representative per company), Original Works, Artisans, Makers, Crafters, and similar product-based sellers.

Vendors are curated at the sole discretion of the Irish Fest Camden (IFC) Vendor Committee. To protect variety and ensure a balanced festival experience, IFC may decline vendors with overlapping or duplicative offerings. Applications are reviewed in the order completed and time-stamped.

If your application is denied because we have already filled your vendor category or product type, you will receive a full refund.

If your application is denied because the incorrect vendor type/category was selected, you will receive a refund minus payment processing fees.

Business Licenses & Taxes

Please carefully read and acknowledge below our compliance guidelines for local business licenses and taxes. Please note that for the 2026 year, we are outside the City of Camden - therefore no City of Camden business license is required.

Local Taxes Requirement *

Vendors are responsible for collection and submission of sales tax on all items sold to local and state authorities (Kershaw County, South Carolina)

Additional Requirements for 2026 Food Vendors

Generator Requirements (2026)

Generators must be quiet, festival-safe models and must not create excessive fumes, smoke, or noise.
Generators must be positioned away from pedestrian traffic and secured to prevent movement or tipping.
Fuel supplies must be stored safely and not inside enclosed tents or near heat sources, cooking equipment, or ignition points.
No refueling is permitted while the generator is running or while attendees are in close proximity.
Vendors must supply their own extension cords and ensure all cords meet Fire Marshal electrical requirements (grounded, in good condition, no splices, adequate ampacity, no trip hazards).

Insurance Requirements (2026)

All food vendors are required to maintain active general liability insurance.
A valid Certificate of Insurance (COI) must be uploaded or emailed prior to the event.
The COI must list:
- Irish Fest Camden, LLC as the Certificate Holder
- Irish Fest Camden, LLC as an Additional Insured
Vendors who fail to provide the required insurance documentation by the stated deadline may be denied participation without refund.

2026 Placement Notice — All Vendor Tents on Grass Areas

For the 2026 festival, all vendor tents will be placed off the asphalt and positioned on designated grass or natural ground areas.

Important: Although tents will no longer be directly on the asphalt, vendors are still fully responsible for ensuring their tents are properly secured.

Tents must be anchored with adequate weights at each corner.
Staking may be allowed only in permitted areas and at the vendor’s own responsibility to avoid underground utilities.
The festival takes place on an active airfield; wind conditions can become unpredictable or strong.
Vendors must ensure all tents, canopies, signs, and equipment are secured against wind at all times.

High-Wind Advisory for the 2026 Festival

Because the festival grounds are located on an open airfield, vendors should be prepared for sudden or sustained wind gusts. All tents and equipment must be anchored in a manner that prevents collapse, tipping, or damage in windy conditions.

Failure to properly secure tents may result in removal from the festival grounds for safety reasons.

Set-Up, Electricity and Location:

Vendor set-up is Friday, March 6, 2026 from 10:00 am to 3:00 pm. The Kershaw County Airport is fenced and secured.

Saturday, March 7, 2026 morning set-up is allowed starting at 7:00 am, but all set-up must be fully completed no later than 8:30 am. Gates to the public will open at 9:00 am.

Vendors are allowed ONE (1) vendor vehicle that may be parked directly behind your tent as long as it does not block pedestrian traffic or another vendor’s space. All additional vehicles must be parked in public parking.

If your vehicle blocks pedestrian traffic or is behind another vendor’s tent space, you will be required to move to public parking. For safety reasons, vehicles may NOT be moved during public festival hours between 9:00 am and 5:00 pm.

Camping in your vehicle overnight on the festival grounds may be allowed on a case-by-case basis by request only. Please email your request no later than February 1, 2026 so that a pass may be issued.

Vendors will not be allowed to pack up their tents or leave until after 5:00 pm, even if you have sold all items. In the event of heavy or damaging winds, tents may be lowered to protect your property.

Music & Smoking:

All vendors, regardless of category or location, are strictly prohibited from playing music from their tent, booth, truck, or personal vehicle in any way that visitors may hear. Absolutely NO music is allowed from any vendor via any means (including radios, vehicle radios, boomboxes, or speakers). Irish Fest Camden is a music festival, and vendors may not interfere with the festival’s scheduled music.
Absolutely NO SMOKING is permitted within the festival grounds by anyone at any time. This includes overnight camping, setup, and tear-down. This is an airport and we must comply with airport rules. Designated smoking areas will be located outside of the fenced festival grounds and indicated on the festival map provided closer to the event dates.

Vendor Space & Location:

Each retail vendor space is approximately 15’ x 15’. You may reserve multiple, consecutive spaces. Please be sure to reserve the correct number of spaces needed in your registration.
Your location is based on overall festival needs. Each vendor shall adhere to the pre-registered size of your space(s). Your location is not negotiable nor transferable.
We will honor special requests as much as possible, but such requests MUST be made at the time of registration.

Tickets:

Food vendors will receive four (4) tickets and Retail vendors will receive two (2) tickets per reserved space.
Vendors will be emailed a coupon code for their free tickets to obtain through the festival website: www.IrishFestCamden.com no later than February 1, 2026.
Tickets will have a QR code which will be scanned for entry into the festival grounds. Tickets are required for entry into the fenced airport grounds.
If vendors will have more workers than the tickets provided, you may purchase additional tickets on the website at general admission pricing.

Food Vendors – Menu Note:

Food vendors are encouraged to have at least one Irish-themed menu item. This is not required, but it may be to your advantage when food vendors are selected since a limited number are accepted. For example, if a BBQ vendor is also offering “Shepherd’s Pie (BBQ style)” while another vendor is not, we will select the vendor with Irish offerings when all other factors are equal.

Electricity & Generators:

Electricity is not available. If you require electricity overnight on Friday or during the Saturday festival, you must supply a generator.
Vendors are responsible for securing extension cords to prevent tripping hazards.
Quiet generators are strongly preferred. Space assignments may be changed based on how loud your generator is in order to preserve the guest experience.

Booth Elements & Seating:

Vendors must supply all booth elements. You are encouraged to bring tents, umbrellas, tables, and chairs.
Tables, chairs, or other items are not available to borrow from the festival committee.
Food customers strongly prefer to have a place to sit; food vendors who provide seating often see better sales than those who do not.

Tent Placement, Anchoring & Wind Conditions:

For 2026, vendors will not be placed directly on the asphalt. Vendor tents will be located on the grass beside the runway/asphalt, which may allow for staking where permitted and safe.
Vendors shall adequately stake and weight tents. It doesn’t take much of a breeze to lift a tent.
Many retail vendors will be located on the grass near the airport runway and must secure tents with stakes, cinder blocks, sand bags, or other adequate weights at each corner.
This is an airport, and wind conditions can be unpredictable. Vendors are responsible for preparing for potentially strong winds and reinforcing tents and displays accordingly.

Please leave your space as you found it, free of trash and debris.

Vendor set-up instructions, including maps and final details, will be emailed to you the week of the event. If at any point this form and the official 2026 Contract PDF do not agree, the official 2026 Contract PDF is the final record of fact.

Food vendors may provide tables & seating in front of their space.

Food vendor fire inspection *

All food vendors which will be cooking will be inspected by the Fire Marshal.

All food vendors must comply with the requirements in the prior section "Requirements for Cooking on Festival Grounds"

Food Vendor Hand Washing Station *

Food vendors must provide a hand washing station or hand-sanitation section providing anti-bacterial gel.

Food vendor - grease removal *

Food vendors must remove all remaining food, grease, and trash collected at your booth from the grounds.

Food vendors shall contain all grease and not allow leaks that may contaminate the grounds.

Food vendor -trash cans *

Food vendors MUST PROVIDE YOUR OWN TRASH CANS and BAGS.

DO NOT RELOCATE FESTIVAL TRASH CANS TO YOUR SPACE.

Food Vendor Proof of Insurance *

General Release:

The undersigned understands and accepts the terms of this agreement and does hereby release, acquit, and forever discharge Irish Fest Camden, LLC, its owners, partners, agents, representatives, employees, volunteers, contractors, and affiliates, as well as Kershaw County, the Kershaw County Airport, and all associated entities and personnel, from any and all actions, suits, damages, losses, injuries, claims, liabilities, or demands of any kind whatsoever, in law or equity, whether known or unknown, arising from or in any way related to the undersigned’s participation in Irish Fest Camden.

The undersigned further acknowledges that the festival takes place on an active airfield and involves inherent risks, including but not limited to uneven ground, high winds, weather conditions, noise, and hazards associated with temporary structures, equipment, and large crowds. The undersigned assumes full responsibility for securing tents, equipment, products, and all materials within their assigned space.

Non-compliance with any portion of this agreement, festival rules, Fire Marshal regulations, airport regulations, or verbal instructions from festival officials may result in immediate removal from the festival grounds and the denial of future participation in Irish Fest Camden events.

By e-signing this document, I acknowledge that I have received the 2026 Irish Fest Camden Vendor Contract, have read and understand all regulations, understand how they apply to my participation, and agree to fully comply with all rules, requirements, and conditions set forth herein.
